Accessing a Hololens device for your Trust - British and Irish Orthoptic Society

The British and Irish Orthoptic Society (BIOS) is excited to offer trusts the opportunity to participate in the Clinical Placement Expansion project using a Hololens device. These innovative devices can enhance clinical training and patient assessment experiences by enabling live streaming and recording through advanced augmented reality technology.

If you have written approval from your trust to proceed with live streaming patient assessments, please share this approval with [email protected] and inform them that your trust is seeking access to a Hololens device.

Receiving and Setting Up the Hololens Device

Upon approval, BIOS will aim to assign your trust with a Hololens device. Before this assignment, the departmental head will be asked to sign a hardware disclaimer, which includes the following commitments:

The Hololens will be well-maintained and securely stored when not in use.
The Hololens remains the property of BIOS. If the site does not contribute to live or recorded resources on the Patient Experience and Resource Library (PERL), BIOS may request the return of the device.

Hardware Disclaimer

IT Setup

You will receive access to a secure Microsoft Account which you can use to login to the Hololens.
You will then be required to place a request for your local IT Team to setup the device on the local wireless network.
Your local IT department may request that the Hololens is setup on the trusts secure Microsoft Tenant. If this is the case, then please confirm with IT how you can receive access to a remote assist license.

Once the device is configured, it is crucial for clinical tutors to familiarise themselves with BIOS’s standard operating protocols (SOPs) to ensure the device is used correctly and in compliance with data protection standards. Tutors should also use the built in-training app to practice the hand gestures required to operate the Hololens.

Live Streaming with the Hololens

Before your first live stream session, please review the SOP for conducting live streams. This includes instruction on:

Providing information to BIOS on the regular video clinics that can be offered, so these can be promoted to the participating universities.
Setting up a Microsoft Team’s appointment with participating universities.
Reminding students to be in a secure environment whilst watching the live stream.
Requesting students to turn off their cameras and mute themselves during the session.
Discuss how questions will be managed during the session.

Recording with the Hololens

For recording patient assessments access to the wireless network is not required. Please follow the SOP for how to record and submit videos to the PERL. To enhance audio quality, external microphones are recommended.
